April 1, 2009 TO: VARSITY BASKETBALL COACH FROM: MICKEY GUIDRY, CHAPTER SECRETARY IMPORTANT INFORMATION FOR 2009-10 BASKETBALL SEASON Welcome to the beginning of another Basketball Season. 1. Sub-Varsity Officials: Due to the changes in school assignments this year, we will be able to guarantee Sub-Varsity officials for your Sub-Varsity games. Please notify us if you would like for us to cover your Sub-Varsity contests and we will assign officials for these games. Send your Sub-Varsity schedules to Marie Robinson-Prescott and Middle School Schedules To Dawn Tolbert. Scrimmages: UIL Chapters shall be PAID For SCRIMMAGES using the following fee schedule (BASKETBALL $ 50.00 ). Fees are based on a Three Hour Scrimmage, After Three Hours Each Additional Hour Is $25.00. The fees paid are regardless of the level of competition. The fee will be PAID to The Beaumont Chapter of Officials and not to Individual officials. The fees will used for EDUCATION, RETENTION AND RECRUITMENT OF OFFICIALS. Chapters agreeing to provide officials and charge for SCRIMMAGES are under OBLIGATION to provide officials for the school for the ENTIRE SEASON ,grades 7-12. On Chapter Web Site you will find an initial Roster of Officials in Good Standing and phone numbers . 3. Schedules: Any school who does not provide a schedule of games to me by September 4 , 2009 will not have officials assigned to their games initially. Once the regular schedule is produced, officials will be assigned from the non-working list on a date-to-date basis. This will be determined by the number of games on that date, as well as, the number of officials available. Specify games, which you would like to utilize a 3-Person Crew. 4. On Chapter Web Site you will find a list of officials in Good Standing for the Beaumont Chapter for the 2009-10 Season. You May Send in a PREFERENCE list of officials. Must Return Before or By September 4, 2009 with your Schedule of Games.. A PREFERENCE Of OFFICIALS HAS NO BEARING ON OFFICIALS That Will Be ASSIGNED To Your GAMES. It Will Only Be Used To Replace OFFICIALS That Has Canceled Out Of Games. 5. Change of an Official prior to the Season: Once the Schedule of Officials for the 2009-10 Season has been sent to you, you will have 5 Days From The Date You Receive Your Officials Game Assignment To make any changes. After the deadline, official assignments will be final. You may request changes prior to the deadline and the Secretary and President will review all requests, and then make changes where changes appear necessary. Officials Will Not Be Considered For Game Assignment When They Have Blocked Out Dates Or Have Canceled Out Of A Game On That Game Date ( NO EXCEPTIONS ). 6. Scratching Officials after the Start of the Season: Following the drafting of the final copy of official assignments on November 8 , 2009 : the following process for official changes must be taken: A. School desiring to scratch official must notifies Chapter Secretary. NOTE: After a school has accepted an official, and then Scratches the official prior to a contest, the SCRATCHING must approved by the ATHLETIC DIRECTOR in Multiple-High School Districts,and the PRINCIPAL and/or SUPERINTENDENT in Single- Member Districts.Officials CANNOT Be SCRATCHED the day of the game EXCEPT by mutual consentof BOTH SCHOOLS. The Reguest must be signed by the above person or persons and MAILED or FAXED to the Chapter Secretary. B. Chapter Secretary notifies the opposing school of the scratch. C. Chapter Secretary Commnicates With Both Schools Coaches and a selection is made from the Non-Working list of officials for that game night. D. If an agreement is reached, the school who initially scratched the official(s) is responsible for paying game fee of that specific night to the scratched official(s) within 30 days. E. If no agreement is reached, the schools are then offered to the contact the UIL for officials from another chapter. 7. Tournaments: Mickey Guidry will serve as Tournament Coordinator with the responsibility of making sure all Tournaments have an official in charge of each tournament (Varsity and Sub-Varsity). If you have an official that you specifically want in charge of your tournament, indicate that on your Tournament Bracket and Mr. Guidry will forward that information to the person selected. 8. UIL Requires the following: A. Game Administrator for all Varsity and Sub-Varsity contests. B. Private Dressing Facilities for Officials. C. Security for Officials. 9. Rules Meeting: Varsity and Sub-Varsity Coaches are invited to attend a New Rules Informational Meeting with the officials at the Lamar University Science Lecture Auditorium, scheduled for Sunday, November 8, 2009 at 2:00pm .
